Click the LeaseCalcs icon in the LEAP ribbon at the top of your matter screen.

Once loaded, you will be presented with the LeaseCalcs Overview screen.

The Overview tab pulls through the key matter details such as Matter Number, Lessor, Lessee, Property, Lease commencement, Basic rent p.a. and Option to renew, so you can confirm you're working on the right lease before running any calculations.

From the Rent Summary tab, enter the rent basis, commencement date, payment frequency, first payment date, lease term and payment timing (advance or arrears) to generate a full rent payment schedule for the lease.

The Rent Terms tab captures the base rent and lease expiry date, along with any Further terms, the number of options, the term length of each and the earliest and latest exercise window before expiry.

From the Estimate tab, add each outgoing (e.g. Council Rates, Water Rates, Gas, Electricity) and apportion the tenant's share by percentage or by area.

Toggle Plus GST if outgoings are to be grossed up, and LeaseCalcs will calculate the tenant's estimate automatically.

Switch to the Reconciliation tab to compare the outgoings estimate that was charged against the actual outgoings incurred over an accounting period.

LeaseCalcs calculates the difference between total estimated and total actual outgoings, and tells you whether the tenant has underpaid (owing to the landlord) or overpaid (owing a refund).

Select the CPI Region and CPI Frequency, then enter the current rent and the last and current review dates. LeaseCalcs pulls the relevant ABS CPI figures for the base and review quarters and calculates the percentage change, the dollar increase, and the adjusted annual rent.

Tick Calculate additional security deposit to work out any top up owing on a security deposit held, based on the adjusted rent.

Tick Calculate a retrospective amount to work out the backdated rent shortfall where the CPI adjustment is applied after the date it was due under the lease.

Enter the rent frequency, the adjustment date under the lease, and the calculation date, and LeaseCalcs will work out the number of days involved and the amount owing.

Enter the current rent and the increase percentage to calculate the annual increase and new annual rent.

The same Security deposit top up and Retrospective amount options available on the CPI Rent Adjustment tab are also available here, so you can work out a security deposit top up or a backdated shortfall on a fixed increase in exactly the same way.

Choose a Calculation method:

• Base rent + % above threshold
• Base rent + % of gross turnover; or
• % of gross turnover

and enter the relevant base rent, threshold, gross turnover and turnover percentage figures.

LeaseCalcs calculates the base rent, turnover rent and total rent payable for whichever method applies under the lease.

Use the Overdue Interest Calculator to work out interest owing on overdue or arrears amounts. Enter the interest rate and the date to calculate to, then add each amount with its description and due date.

LeaseCalcs lists the number of days overdue, the interest accrued and the running total for each amount, along with the total payable across all amounts entered.

The Dates tab includes three calculators to save you counting on a calendar.

Days Between

Counts the number of days from a start date to an end date, with the option to include the start day and/or the last day in the count.

Business days

Counts business days between two dates, on a weekdays only basis or excluding public holidays as well.

Add/Subtract days

Works out a resulting date a given number of years, months, weeks or days before or after a start date, and shows the day of the week it falls on.

Enter the Date possession of goods given to calculate the PPSR registration deadline.

Enter the Date of registration to calculate the registration expiry date. This field defaults to the calculated registration deadline above.   When available, change it to the actual date the interest was registered.

At any time, click Save to Matter from the bottom right of a calculator to save the figures used and the results generated in PDF, Word or Excel format, back to the matter for future reference.
