Archived Matters Report

How To

Location: LEAP Menu > Reports > Matters & Clients > Archived Matters

Purpose: Lists all matters archived within a definable period, including any recorded physical file locations and destruction date, with filter options for matter type and staff.

Trigger: Only matters with a current status of 'Archived' are included in the report.

Please note that any matter archived after the initial run time for today will be included in the report generated on the following day. As a result, it will not be reflected in today's report.

Report Filters:

Date Range	Displays matters that were archived within the selected date range. NOTE: The set date range should be less than one year.
Matter Type	Filters results to only include matters that fall under any of the selected matter types.
Staff	Includes three staff-related filters to narrow down matters: Inc. Inactive Staff: Provides an option to either include or exclude Inactive Staff Members from the lists of 'Staff Responsible' and 'Staff Acting'. NOTE: A Staff member is considered Inactive if their Current Staff Member option is togged off under the Access & Permissions in the Staff Details window (Menu > Settings > Application Settings > Firm > Staff > Members). The staff lists dynamically update based on the 'Include Inactive Staff' option setting. Staff Responsible: Filters results to include only matters where the selected staff member(s) are assigned as the Person Responsible. All staff members are included by default. Staff Acting: Filters results to include only matters where the selected staff member(s) are assigned as the Person Acting. All staff members are included by default.
Dispaly	Includes one display option: Group By: Offers the following grouping options: None: No additional grouping is applied. Staff Responsible Staff Acting Matter Type

Report Fields:

Archived No.	The archive number applied against the matter, as specified in the 'Archive Management' window.
Archive Date	The date the matter was archived, based on when the action was taken.
Matter No.	The matter number.
Matter Description	The matter description.
Client	The client on the matter.
Resp.	The matter's Person Responsible.
Act.	The matter's Person Acting.
Box No.	The Box number of the file, as specified in the 'Archive Management' window.
File Location	The physical location of the file, as specified in the 'Archive Management' window.
Destruction Date	The date when the file can be destroyed, as specified in the 'Archive Management' window.

Details such as Archive Date, Archive No., Box No., File Location and Date of Destruction are retrieved from the Archive Management window of a specific matter.

To access this information, navigate to the matter's Details and Correspondence tab, click on the three dots at the top right corner, and select 'Archive Management'. Refer to this article for instructions on archiving a matter.
