Agents Report

Location: LEAP Menu > Reports > Matters & Clients >  Conveyancing  > Agents Report

Purpose: Lists Agent(s) attached to Conveyancing matters. 

The report helps to retrieve information pertaining to agents by offering a consolidated view. Utilising the report also allows you to promptly identify matters linked to specific agents. This feature is especially useful for efficiently monitoring progress, assigning tasks, and addressing any issues within a particular agent's portfolio.

Report Trigger:

  • The Agents Report specifically references the presence of an 'Agent' Card attached to a matter. It does not encompass other variations of Agent cards, such as 'Listing Agent', 'Selling Agent', or 'Buyer's Agent'.
  • To guarantee inclusion in the report, staff member(s) must be selected for the Agent Card directly from the matter table, rather than merely listed within the Agent Card.

  • This report is primarily tailored for Conveyancing matters, although it may encompass other matter types where the 'Agent' Card is recorded on the matter table.  To narrow down the results, utilise the 'Matter Type' filter.
  • The date range filter is employed to refine results by limiting matters based on a matter's Instruction date, which is entered under the 'Calendar & Tasks' tab.

Report Filters:

Date Range Displays agents on the matter with an Instruction Date within the selected range. 
Matter 

Includes two filters:

  • Matter Status: Filters results to include only matters with the selected status(es).
  • Matter Types: Filters results to include only matters with the selected type(s).
Staff

Includes two filters:

  • Staff Responsible: Filters results to include only matters where the selected staff members are assigned as the Person Responsible.
  • Staff Acting: Filters results to include only matters where the selected staff members are assigned as the Person Acting.
Display

Includes two display options:

1. Group By:

Allows users to group the list by:

  • None
  • Agent
  • Matter Status
  • Matter Type
  • Staff Acting
  • Staff Responsible

2. Expand Row Groups: Only active when the 'Group By' option is not 'None'.  

  • No: When set to 'No', the grouped rows remain collapsed, showing only the group headers.
  • Yes: When set to 'Yes', all grouped rows are expanded, displaying all rows within each group. 

Report Fields:

AgentThe name of the Agent on the matter.
Matter No.The matter number. 
Agent Staff on Matter The staff member(s) selected for the Agent Card on the matter table. 
Agent Staff EmailThe staff member(s)' email address.
ClientThe name of the client(s) on the matter.
Property AddressThe property address, entered in the 'Property' card of the matter table.
PriceThe Property's Price.
Exchange / ContractThe matter's Exchange or Contract date, entered under the 'Calendar & Tasks' tab. 
Settlement DateThe matter's Settlement Date, entered under the 'Calendar & Tasks' tab. 

NOTE: 

  • Ensure that the Property Address, Price, Exchange/Contract Date and Settlement Date are entered on the matter table or under under the 'Calendar & Tasks' tab to be displayed in the report.
  • If a matter does not involve one of these fields (such as the absence of an Exchange/Contract date under the 'Calendar & Tasks' tab), the corresponding field will be left blank.
