Learn how AI Paralegal can source a client's disclosure documents for you and securely share them with the other party's law firm or a self-represented party.

Sourcing Disclosure Documents

Your AI Paralegal can source a client's disclosure documents for you. Once you start the process, it contacts your client by text message and email with a secure link to a guided conversation, works through each category of document with them, and then gathers the documents your client asks it to obtain: bank and credit card statements, tax returns and notices of assessment through our specialist accounting firm, superannuation balances and fund details, title searches and property and vehicle appraisals. Every document is named, filed and indexed in the LEAP matter, and you are emailed when the work is done.

Before You Start

Your AI Paralegal is available on family law matter types, and disclosure sourcing is used where financial or property disclosure is involved.

Start Sourcing Disclosure

  1. Open the matter and click AI Paralegal in the matter ribbon.

  2. Under Disclosure sourcing, click Source disclosure.

  3. Check your client's first name, last name, email and mobile number, and click Next.

  4. Review the other side's first and last name.

Your AI Paralegal uses these when reviewing the gathered documents.

  5. Nominate the main lawyer on the matter and the day-to-day admin person.

  6. Unselect if you do not want your AI Paralegal to obtain title searches.

  7. Click Start sourcing.

Your AI Paralegal sends your client a text message and an email, copying in the day-to-day admin person, with a secure link to start the conversation.

Updated Sourcing

Updated sourcing is currently available for bank statements only.

Request Updated Bank Statements

Where the bank statements you hold no longer cover the required period, you can ask your AI Paralegal to obtain updated statements.

  1. Open the matter and click AI Paralegal in the matter ribbon.

  2. Click Source new statements.

Your AI Paralegal reaches out to your client and coordinates sourcing the latest bank statements. Once received, the statements are named, filed and indexed in the matter.

Track Progress

  1. Open the matter and click AI Paralegal in the matter ribbon.

  2. At the top of the Assign work screen, the Disclosure sourcing tracker shows the current stage.

  3. For more details, go to Review work.

The Review work screen shows the same tracker, the activity to date, the stage reached, when the last activity happened and how many reminders have been sent. Once sourcing is complete, the financial disclosure plan, the signed authority and the conversation transcript are available here.

You can pause the reminders to your client at any time.

Click Pause client reminders beside the Disclosure sourcing tracker on the Assign work screen.

FAQs

  • Who is copied in on messages sent to my client?

The day-to-day admin person you nominate when you start sourcing. They receive a copy of each email your AI Paralegal sends to your client.

  • Can my client gather the documents themselves?

Yes. At each step of the conversation, your client can choose to gather that category of document themselves. Most clients ask your AI Paralegal to gather them.

  • What if my client stops responding?

Your AI Paralegal follows up automatically over about four weeks. You can pause the reminders at any time from the Assign work screen.

Sharing Disclosure with the Other Party

Your AI Paralegal shares your client's disclosure with the other party through a secure link, rather than emailing PDF attachments of sensitive financial documents. Sharing is a two-step process: choose the documents to share, then give access to the other party. Anyone at the other party's firm with the same email domain can open the link, so nothing needs to be re-sent if the lawyer is away, and every view is recorded in a timeline with the viewer's email address and a timestamp.

Before You Start

Send your client's disclosure to your AI Paralegal so it has been named, filed and indexed. See Sending Documents to Your AI Paralegal.

Choose the Documents to Share

  1. Open the matter and click AI Paralegal in the matter ribbon.

  2. On the Assign work screen, select Share with the other party.

The Choose what to share screen lists the documents not yet shared, grouped by type.

  3. Review the list and untick any documents you do not want to share.

  4. Click Share.

  • The share is created and shows the number of documents in it. Any documents you left out remain listed as not yet shared and are ready to be included in a later share.
  • When the AI Paralegal shares disclosure documents with the other party, the Date Disclosed column in the Disclosure Schedule gets completed.

Give Access to the Other Party

  1. Click Give access.

  2. Under Who is this?, choose A law firm or A self-represented party.

  3. Enter the recipient's email address.

  4. You have the option to leave the Send notification email ticked to email the recipient the link, or to untick it if you are sending the link with a letter/email or a disclosure schedule.

  5. Click Give access.

The share link is shown so you can copy it into your own correspondence. When the other party opens the link, a one-time password is sent to their email address before the documents are displayed.

What the Other Party Sees

The other party can see the documents shared with them, including the date each was shared, and view them by date or category. They can select all the documents and download them, and can ask to be notified when further documents are added.

To see exactly what they see, click Preview share on your own matter.

Share and Access Timeline

The Share and access timeline records every share, the documents included, and who they were given to. Once the other party views the documents, the timeline shows the email address of the person who viewed them and the date and time. The status next to each party shows whether they have viewed the current share or only an earlier version, so you can see at a glance whether they have seen newly added documents.

Sharing with a law firm gives access to anyone at that firm with the same email domain, once they have the link. A self-represented party is given access individually.

Remove Documents from the Share

  1. Open the Share disclosure screen and click Update.

  2. Untick the documents you want to remove and click Update.

The documents are removed from the share and the other party can no longer view them. The Share and access timeline records the update and shows each removed document struck through and marked Removed, so you have a record of what was disclosed and for how long.

Managing Shared Access

  1. On the Share disclosure screen, scroll to Who it is shared with.

  2. Next to the firm or self-represented party, click Revoke.

  3. Click Revoke to confirm.

The link stops working immediately. For a law firm, this removes access for everyone at that email domain. The share itself and its timeline are kept, so the record of what was shared and who viewed it remains available.

To share again, or to give access to a new solicitor if the matter changes hands, click Give access.

FAQs

  • How do I share documents I receive later in the matter?

Click Share with the other party again. Documents not yet shared are listed for you to select, and they are added to the same share.

  • Is the link secure?

Yes. The recipient must enter a one-time password sent to their email address before the documents are shown, and every view is recorded.

  • Do I have to send the notification email?

No. Untick Send notification email and copy the link into your own letter or email instead.

  • What if the other party's lawyer is away?

Anyone at the firm with the same email domain can open the link, so a colleague can access the documents without you re-sharing.

  • Can I see whether the other side has looked at the documents?

Yes. The Share and access timeline shows who viewed the documents, by email address, and when.
