Configure your AI Paralegal's billing settings for the firm, or set the rate for a matter, and learn how to record your AI Paralegal's work in LEAP.

Settings

This article will guide you on completing your AI Paralegal's billing settings for the firm as well as setting the rate on a matter.

Part 1: Firm Wide Settings

Open AI Paralegal Settings

  1. Click LEAP Main Menu.

  2. Click Settings.

  3. Under Apps, click AI Paralegal Settings.

    The Firm settings window opens.

Change your AI Paralegal Name

You can give your AI Paralegal any name you choose. The name you set is used throughout the app.

  1. Under Your AI Paralegal, click Change name.

  2. Enter the name you want to use.

  3. Click Save.

Choose the Firm's Default Billing Basis

Under Billing, choose how your AI Paralegal's work is billed to your clients unless you specify otherwise:

  • Time-based: you bill the client for your AI Paralegal's work on a per-item basis, alongside your standard time entries, at an equivalent charge-out rate you set.

  • Fixed fee: you incorporate your AI Paralegal's work into your fixed fee agreements with the client.

Whichever basis you choose here becomes the default for every matter. You can change it for any individual matter.

Fixed Fee (Firm Default)

  1. Select Fixed fee.

  2. Click See cost to you.

Click to edit heading

The Cost to you screen lists each category of task your AI Paralegal performs, grouped together by activity type, with the cost to you per item.

Time Based (Firm Default)

  1. Select Time-based.

  2. Click Set charge out rate.

    The Billing rate screen opens.

  3. Use the sliding scale to set your AI Paralegal's equivalent hourly rate.

    Click to edit heading

As you move the slider, the table below updates to show the client rate and your cost per item for each task type.

  4. Click Update rate.

    Click to edit heading

The hourly rate is an hourly equivalent. It has been calculated from the amount of time it would take a human paralegal to undertake each type of task, with those tasks bundled together into activity types.

Request Firm Costs Agreement Wording

Once the firm's default rate is set, your AI Paralegal can draft costs agreement wording to cover its work, which you can add to your client costs agreement templates and add to addendums for your existing clients.

  1. On the Firm settings screen, with Time-based selected, click Client costs agreement.

  2. Under Show rates in the document as, select Ex GST or Inc GST.

  3. Click Request wording.

Your AI Paralegal drafts the wording and emails the document to you.

Part 2: Setting the Rate on a Matter

The firm-wide setting applies to every matter unless you change it. Where a particular client or matter calls for a different billing basis or rate, override the firm default from within the matter.

Before You Start

The charge out rate is set per matter. Open the matter you want to bill and decide which billing basis suits the client: a fixed fee per item, or a time-based rate.

Choose the Billing Basis

  1. Open the matter and click AI Paralegal in the matter ribbon.

  2. Click Rate.

The Charge out rate screen opens.

  3. Under Billing, choose how your AI Paralegal's work on this matter is billed to your client:

    • Time-based.

    • Fixed fee

Recording Your AI Paralegal's Work in LEAP

Your AI Paralegal records its work as time entries on the matter in LEAP Accounting, so it can be billed to your client like any other work.

Before You Start

Time entries reflect the billing basis and charge-out rate set for the matter. Time Entries are only created where the matter’s billing status is set to Time Based.

AI Paralegal won't record any entries on Fixed Fee. See Settings > Part 2: Setting the Rate on a Matter.

See the Work Done on a Matter

You can see the work your paralegal has done on a matter:

  1. Open the matter and click AI Paralegal in the matter ribbon.

  2. Navigate to Work to date on the Assign work screen.

The panel shows the equivalent hours your AI Paralegal has completed on the matter and the cost to the firm.

  3. Click Billable work breakdown to see the work by activity and document type or request an interim invoice for your fixed fee matters.

Click to edit heading

If your matter is set as Time Based, all time entries will appear in LEAP Accounting.

Record Work Now

Some tasks your AI Paralegal completes during the day are recorded as time entries at midnight. If you are preparing an end-of-month bill or a final bill and your AI Paralegal has done work on the matter that day, record it first, so it is included:

  1. Navigate to Work to date.

  2. Click Record this work now.

  3. Open LEAP Accounting for the matter.

The time entries appear, grouped by activity and document type, ready to bill.

Click to edit heading

The Work to date panel also notes any ongoing work that started that day and when those time entries will be recorded.

FAQs

  • How are the entries described?

Each entry is grouped by activity, such as naming and filing or balance sheet work, and by document type, so your client can see what was done.

  • What rate is used?

The client rate per item set on the matter, or the firm default if none has been set. See the 'Firm Wide Settings' or 'Setting the Rate on a Matter' sections within the Settings above.
