Shouldnt be able to archive a matter when monies in trust

Is anyone aware if there is a setting to stop a matter being archived when there are monies in trust? This really should be a safety feature on archiving matters so that this cant happen.

 

Unreconciled trust and office, yes but money in trust NO, anticipated payments still to be paid NO!

    I think there's a feature request in for this already, I had the same thing - someone archived a matter when there was money in trust (this goes for Trust Investments as well)!

      Except they've released features from requests way under that threshold, and not considered ones way over...!

    I put this as a feedback on 24 February 2023 and nearly 2 years later, it is still a massive safety issue that matters can be archived with AD's, money in trust etc.

     

    It currently only has 60 points and under threshold

    LEAP always prompts you if there is any Outstanding Balance etc - if archiving individual matters you get this pop up and then this screen

    If you choose to override these messages then that's why matters are being archived with Trust Funds or outstanding fees etc

    If you bulk archive there are boxes ticked under HAS OUTSANDING BALANCE - you can choose to unselect these when archiving in bulk - I usually go into the matter and see what is outstanding in the Archive Management drop down

    True you shouldn't be able to Archive with Trust monies but we also don't want anything Archived that has anything outstanding - hope this helps

      Agreed, however, people (for whatever reason) override this and then archive matters with balances and then it falls on me when I'm doing reports to work out what has happened, unarchive it, fix it up etc

       

      It's great that there is there warning but whilst there are things on the right hand side list with something other than a zero balance, Leap should not even give you the option to archive a matter.

      • Totally agree Julie and for most cases it’s the Accounts Team that archive matters for this very reason but the occasional one does slip through

        We have a second team that checks all closed files for these matters
