How To

Location: LEAP Menu > Accounting > Reports > Trust > Trust Account Payments Cash Book

Purpose: Provides the Trust Payments Cashbook, listing Trust payments entered within the specified date range and providing a Cash Book Summary including opening and closing balances.

The report is generated to reflect transactions and balances specific to a designated trust bank account and is marked as ‘Interim’ to differentiate it from the ‘Trust Account Payments Cash Book’ generated during the End of Month (EOM) procedure.

- The latter can be accessed via LEAP Menu > Reports > Trust Reporting > Trust End of Month > View Previous Trust EOM. It represents the finalised account activity for that period. For instructions on how to run the Trust EOM, please refer to this article.

Important Notes:

The report organises results based on the Entry Date of a Trust payment. Therefore, a Trust payment will be captured in the cash book—and thus affect the closing balance—only if its Entry Date is within the specified date range.
- In instances where the Transaction Date differs from the Entry Date, both dates will be listed and the Entry Date will be marked by an asterisk (*).
The report also includes reversals of Trust Payments if the Reversal Date falls within the specified period.

Report Filters:

Date Range	Displays only Trust payments that are dated within the specified period, based on the Entry Date.
Bank Account Name	Provides a list of Trust Bank Accounts to choose from. The report will display transactions and balances for the selected Bank Account only.

Report Fields:

Date	Transaction Date: Date of the transaction. Entry Date: Displayed underneath marked by an asterisk (), if it is different from the Transaction Date*.
Pay No.	The Trust payment number.
Payment Method	The Trust payment's payment type.
Paid To	The transaction's Paid to.
Matter No, Client Name; Matter Description	Displays the following: Matter Number – The relevant matter number. Client Name – The matter's client. Matter Description – The matter description, set in the 'Matter Type' window.
Reason	The reason for the payment.
Multi Amnt	The line's amount for a multi-line payment. NOTE: It is utilised when a Trust payment is apportioned to multiple matters, displaying the specific amount allocated to each respective matter.
Payment Amnt	The total amount of the payment or the reversal.
Cash Book Summary	A summary of Trust Cash Book, including: Opening Balance: The calculated opening system balance at the end of the previous period, based on the defined 'Start Date'. This amount should match the System Cashbook balance on the Trust Bank Reconciliation Report at the end of the previous period (i.e., when the Statement Date falls on the end of the previous period). *Example: If the Start Date is 01/05/2024, the opening balance would be the balance as of 30/04/2024. Add Receipts: The total sum of all receipts entered for the Trust Bank Account within the specified period. The figure aligns with the amount reported in the Trust Account Receipts Cash Book Report* for the same period. Less Payments: The total sum of all payments entered for the Trust Bank Account within the specified period. This amount should match the ‘Payment Amount’ total. Closing Cash Book Balance: The calculated closing system balance on the 'End Date'. This amount should match the System Cashbook balance on the Trust Bank Reconciliation Report for the same date.
